MRAPAT for the Meeting Room, Attendance, and Minutes Management System in the West Sumatra Regional PT PLN Unit

Abstract

Mrapat is a system designed to manage meeting spaces, attendance, and minutes. It facilitates communication between departmental secretaries and facility administrators regarding the booking of meeting rooms, thereby streamlining the confirmation process for the required space. The system prevents scheduling conflicts and double-bookings by ensuring that no two meetings are assigned the same time slot and room. It also simplifies the dissemination of information concerning meeting schedules and locations, helping to avoid delays caused by last-minute room changes. Furthermore, the system streamlines the attendance-taking process for participants, reduces paper usage, and minimizes the potential for attendance fraud. It also assists in the creation and distribution of meeting minutes to all participants. This system has been implemented at PT PLN (West Sumatra Regional Unit) and utilizes both a web-based platform—developed using the Laravel framework (PHP)—and an Android application, built using Android Studio (Java).
